Personal data that we process
SEW Energy BV processes your personal data because you use our services and/or because you provide it to us yourself. We collect and use this personal data because it is necessary for the application process or to conclude and execute an employment contract/internship agreement/temporary employment contract (if any). In addition, certain personal data is required for the compliance and implementation of provisions of the collective labor agreement that applies to us. We also collect and use your personal data to comply with certain legal obligations. These legal obligations relate, for example, to the assessment and payment of taxes and premiums for employees.
Given this necessity, you are obligated to provide us with the necessary personal data. If you do not provide us with any or insufficient personal data, we may not be able to complete a job application procedure with you, enter into and execute an employment contract/internship agreement/temporary employment contract with you (if any), or comply with our legal obligations.
If you are a (payroll) employee or intern, we use your data to prepare, execute, and terminate the employment or internship agreement or the employment relationship. This includes, among other things:
a) the handling of personnel matters;
b) determining and paying salaries, allowances and other monetary amounts; and
c) determining and paying any taxes, premiums and other fiscal obligations on behalf of you as an employee or intern.
If you are an applicant, we use your data to communicate with you about the progress of the application procedure, the assessment of your suitability for a position that is or may become vacant, and the possible handling of any expenses incurred by you.
If you are a temporary worker, we will use the data we receive from the employment agency to assess your suitability for a position that is or may become vacant and to execute the temporary employment contract.
Transfer to third parties
We may share your personal data with other parties. These other parties may include government agencies, but also parties that perform work on our behalf, or parties to whom we are obligated to provide data in connection with the (performance of the) employment contract. This includes the following parties:
- the Tax Authorities;
- the UWV;
- our occupational health and safety service/company doctor;
- the Pension Fund;
- the absenteeism insurer;
Sometimes it will be necessary to provide your data to another party to comply with the law, such as when transferring data to the Tax Authorities, the Employee Insurance Agency (UWV), the occupational health and safety service/company doctor and the (mandatory) Pension Fund.
In other cases, transfer may be necessary to fulfill the (employment) contract with you. When we provide your data to our absenteeism insurer, we have a legitimate interest, namely that we can claim an insurance payment.
In addition, there are parties who perform work on our behalf, such as the accountant/bookkeeper/payroll administrator. We have a legitimate interest in transferring your data. These tasks have been outsourced due to (among other things) the knowledge and expertise of our accountant/bookkeeper/payroll administrator. To execute the (employment) contract with you, the accountant/bookkeeper/payroll administrator needs your personal data.
We also use external server space to store (parts of) our personnel and payroll records, which include your personal data. For this reason, your personal data is provided to our server provider. We also use Microsoft Office and its associated storage options for emails and other files. We have a legitimate interest in these two transfers because we want to store and process data digitally, and outsourcing this process offers several advantages.

Automated decision-making
SEW Energy BV does not make decisions based on automated processing on matters that could have (significant) consequences for individuals. These are decisions made by computer programs or systems, without human intervention (for example, an SEW Energy BV employee).
How long we keep personal data
SEW Energy BV will not retain your personal data for longer than is strictly necessary to achieve the purposes for which your data is collected. We apply the following retention periods for the following (categories of) personal data:
- Application data: 4 weeks, unless otherwise agreed
- Payroll administration data: up to 7 years after termination of employment
- Other personnel data: up to 2 years after termination of employment
Cookies, or similar techniques, that we use
SEW Energy BV does not use cookies or similar techniques.
View, change or delete data
You have the right to access, correct, or delete your personal data. You also have the right to withdraw your consent to data processing or to object to the processing of your personal data by SEW Energy BV. You also have the right to data portability. This means you can submit a request to us to send the personal data we hold about you in a computer file to you or another organization you specify.
You can send a request for access, correction, deletion, data transfer of your personal data or request for withdrawal of your consent or objection to the processing of your personal data to [email protected].
To verify that the request for access has been made by you, we ask that you include a copy of your ID with the request. In this copy, please redact your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as quickly as possible, but within four weeks.
