What are you going to do
As a Project & Cost Control Assistant, you support the operations department in monitoring project administration and costs. You work closely with project managers, engineers, workforce planning, execution teams, HR, and Finance. In this role, you ensure that project information is up-to-date and transparent, enabling project teams to manage progress and budget in a timely manner. You make a substantive contribution to the preparation of invoicing and the processing of project data in the ERP system. Additionally, you monitor administrative processes related to staff deployment and training.
Your duties include, among other things:
- Supporting project teams with project administration and cost control, and identifying and discussing deviations in hours and costs.
- Processing, checking, and analyzing timesheets and project-related costs
- Preparing project invoicing based on hours, materials, and rentals
- Drafting and sending invoices after consultation with the project team
- Coordinating and registering training courses, medical examinations, and leave balances in the ERP system
- Replacing the resource planner during their absence
- Managing and structuring project documentation and technical order documents
What does your workday look like?
The workday starts with answering questions from colleagues regarding project administration. You process training registrations and update project documentation. You also register new time entries and cost bookings for ongoing projects. You coordinate discrepancies with a Project Manager/Project Engineer and process corrections in the ERP system. Afterwards, you work on preparing invoicing for a completed project phase and gather the necessary data from various disciplines.
In the absence of the resource planner, you coordinate staffing with the project teams. At the end of the day, you ensure that the project overviews are updated so that teams can continue working with current information.
